Privacy Policy

This Privacy Policy describes how PayrollCertified LLC (“PayrollCertified,” “we,” “us”) collects, uses, and shares information when you use the PayrollCertified service (the “Service”), including our web application and any related software, sites, or APIs.
By using the Service, you agree to the collection and use of information in accordance with this policy.
1. Information We Collect
We collect information in the following categories:
- Account information. Name, email address, password (stored as a salted hash), company name, and contact details you provide when creating an account.
- Business and project information. Information you enter about your construction projects, prevailing wage classifications, contract numbers, and similar compliance data.
- QuickBooks Online data. When you connect your Intuit QuickBooks Online account via OAuth, we access employee records, payroll transactions, hours, wages, deductions, and related data needed to generate certified payroll reports. We never receive your QuickBooks password.
- Payment information. Subscription billing is processed by Stripe. We receive limited information such as the last four digits of your card, billing ZIP, and subscription status. We do not store full card numbers.
- Usage and device information. IP address, browser type, pages viewed, timestamps, and similar log data collected automatically when you use the Service.
- Communications. Records of support requests, emails, and feedback you send to us.
2. How We Use Information
We use the information we collect to:
- Provide, operate, and maintain the Service, including generating WH-347, A-1-131, and other certified payroll reports.
- Authenticate you and connect your QuickBooks Online account.
- Process subscription payments and send billing notices.
- Send transactional emails (account confirmations, password resets, report notifications) and, with your consent, product updates.
- Monitor and improve the Service, debug issues, and prevent fraud or abuse.
- Comply with legal obligations and enforce our agreements.
3. How We Share Information
We do not sell your personal information. We share information only as described below:
- Intuit, Inc. as required to authenticate and synchronize with your QuickBooks Online account.
- Stripe, Inc. to process subscription payments.
- Service providers who host our infrastructure, send transactional email, monitor performance, or provide customer support, under contractual confidentiality obligations.
- Government agencies and contracting authorities only at your direction, when you generate and submit a certified payroll report.
- Legal and safety reasons when required by law, subpoena, or to protect the rights, property, or safety of PayrollCertified, our users, or the public.
- Business transfers. If we are involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you of any change in ownership.
4. Data Security
We use industry-standard safeguards to protect your information, including encryption in transit (TLS), encryption of sensitive credentials at rest, role-based access controls, and routine security reviews. No system can be guaranteed 100% secure; you are responsible for keeping your account credentials confidential.
5. Data Retention
We retain account and report data for as long as your account is active. After you cancel your subscription and request deletion, we will delete or anonymize your personal information within 30 days, except where retention is required for legal, tax, accounting, or fraud-prevention purposes.
6. Your Rights and Choices
Depending on where you live, you may have the right to:
- Access, correct, or delete the personal information we hold about you.
- Disconnect your QuickBooks Online account at any time from within the Service or via your Intuit account settings.
- Export the certified payroll reports and data you have generated.
- Opt out of non-essential marketing communications.
California residents have additional rights under the California Consumer Privacy Act (CCPA), including the right to know, delete, and not be discriminated against for exercising these rights. To exercise any of these rights, contact us at the address below.
7. Children’s Privacy
The Service is intended for businesses and is not directed to children under 16. We do not knowingly collect personal information from children.
8. International Users
The Service is hosted in the United States. If you access the Service from outside the United States, you understand that your information will be transferred to, stored, and processed in the United States.
9. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will revise the “Effective” date at the top of this page. If the changes are material, we will provide additional notice (for example, by email or by posting a notice within the Service).
